Office Assistant and Trainee Corporate Secretary

This is an opportunity to join a small family office to assist with the administration of a global portfolio of companies. The group is fast moving and active and will provide exposure to a number of tasks and businesses and the opportunity for the right candidate to gain a broad base of knowledge of the workings of a family office and management of a worldwide portfolio of companies.

The role will require management of administrative tasks, including filing, office supplies, mail and courier management, payments administration, telephone receptionist, and basic office duties.

In addition the role will provide scope to assist the Company Secretary in the management of the group’s large portfolio of corporate entities across a number of jurisdictions including:

  • quarterly board meetings;
  • drafting corporate documentation;
  • minute taking;
  • maintenance of all company books and records in group company database;
  • implementation of new corporate regulations;
  • maintenance of group structure charts;
  • KYC and AML queries; and
  • Assisting with transaction meetings and approvals.

    Requirements:

    Fluent English,  Competent with Microsoft Office, Word, Excel, Outlook, Blueprint, Sage would be helpful as would Business level French

    Attention to detail and ability to manage more than one work stream and prioritise is important.
