Clerk to the Trustee Board and 4 committees

Location: Home based, with travel to quarterly Board and committee meetings  
Salary: £16.00 an hour
Reporting to: Chair of Trustees 
Hours: 16 hours per month, on average, to cover quarterly board and committee meetings as required. The workload is variable so having some flexibility will be required.

This is an excellent opportunity for someone who wants to be involved in a dynamic and progressive charitable foundation.  The voluntary youth sector plays a vital role in the lives of young people, but the barriers they face are complex and won’t be solved in isolation. Young Camden Foundation is a membership-led organisation that aims to improve the life chances of children and young people in Camden by building capacity in the Children and Young People’s sector. Set up as a joint venture in May 2017 by London Borough of Camden and John Lyons Charity, YCF aims to provide a new model of local support.

Purpose of role:

  • Provide effective administrative support to the Board
  • Ensure the Board of Trustees is properly constituted 
  • Manage information effectively in accordance with legal requirements
  • Provide procedural and governance advice to the Board of Trustees


Key Responsibilities:

  • Effective administration of meetings including, in-person for Trustee Board meetings, and conference calls for Committee meetings
  • With the Chair and CEO prepare a focused agenda for the committee meetings
  • Have access to appropriate legal advice, support and guidance, and where necessary seek advice and guidance from third parties on behalf of the Board of Trustees
  • Offer advice on best practice in governance, including on committee structures and self-evaluation
  • Ensure that best practice policies and procedures are in place, and are revised when necessary, with the assistance of staff
  • Advise on the annual calendar of Board of Trustees meetings and tasks
  • Send new Trustees induction materials and ensures they have access to appropriate documents, including any agreed Code of Practice
  • Liaise with those preparing papers to make sure they are available on time, and distribute the agenda and papers as required
  • Ensure meetings are quorate
  • Record the attendance of trustees at meetings (and any apologies – whether they have
  • been accepted or not), and take appropriate action in relation to absences, including advising absent trustees of the date of the next meeting
  • Draft minutes of trustee meetings, indicating who is responsible for any agreed action with timescales, and send drafts to the Chair and CEO
  • Circulate the reviewed draft to all trustees 
  • Follow-up any agreed action points with those responsible and inform the chair of progress
  • Prepare briefing papers for the Board of Trustees, as necessary
  • Develop a relationship with trustees to support the Board more effectively


Additional requirements:

  • Conduct skills audits and advise on training requirements for the Board of Trustees
  • Perform such other tasks as may be determined by the Board of Trustees from time to time.
