Share Plans Administration Assistant

The RM2 Partnership Limited is an employee-owned consultancy specialising in the design, implementation and administration of all types of employee share plan arrangements. Our clients include private companies and those listed on AIM or similar markets. 

We have a vacancy for a Share Plan Administration Assistant to work alongside the Operations Team and our Share Plans Client Managers. You will assist with onboarding new clients, help with implementation of share plan arrangements and the administration of existing share plans.

Responsibilities

  • Opening and organising client files, including acting as first point of contact for prospective clients and existing clients
  • Assisting with prospective clients and introductory calls, including researching information for first calls/meetings, arranging, and attending initial calls and making any file notes, preparing first draft letters of engagement, and providing support throughout the sales process
  • Producing first draft share plan documentation, including assisting with drafting rules, option agreements and associated documents such as board minutes and option certificates
  • Assisting with share plan registration and annual returns and HMRC/Companies House filings.
  • Liaising with brokers for share sales for listed clients
  • Administrative support for the Share Plans Client Managers and additional support to other team members as and when required.


Essential requirements

  • Educated to A-level with minimum 2 years’ office-based experience in professional services environment OR could suit new graduate
  • Strong understanding of Microsoft programs such as Word and Excel
  • Excellent organisational and communication skills
  • Numerate, accurate and good attention to detail
  • Ability to prioritise and manage own workload
  • Ability to work effectively as part of a team and on your own
  • Discretion when dealing with confidential information

Experience of share plans is ideal but not essential, as appropriate training will be delivered.

We are a small team, so you will be expected to be flexible in respect of your job role. You may be required to carry out additional administrative support, including office cover as and when required.

Your line manager will be Gillian Mitchell, Assistant Operations Manager.
Hours and Location

Your formal place of work will be the New Malden office. The role is intended to be full time. Core hours are between 9.00am to 5.30pm
